When to ask for a cake deposit

A deposit makes the order real. It tells the client their date is reserved, and it gives you a cleaner boundary before buying specialty ingredients, blocking production time, or turning away another order for the same weekend.

  • Use it after the client has approved the quote range, serving count, flavor direction, design scope, pickup or delivery plan, and event date.
  • Use it before you order custom toppers, specialty flowers, acrylics, printed elements, premium ingredients, or rented stands.
  • Use it before you mark the order as booked in your calendar, order tracker, or CakePricr account.
  • Use it with a written balance due date so the client understands that the deposit is not the final payment.

Example deposit schedule

For a $275 birthday cake with a 50% deposit, the client would pay $138 to book and $137 before pickup or delivery. If the event is July 11 and your balance rule is 7 days before the event, the final balance is due July 4.

That gives both sides a clean order trail: quote approved, deposit paid, date reserved, final balance due before release. If the client asks to change the design later, update the quote total and recalculate the balance before confirming the change.

For wedding cakes or large dessert tables, you may want a longer runway: deposit to reserve the date, design finalization by a set date, then final balance 14 to 30 days before the event. For smaller birthday cakes, a shorter balance window may be enough. The important part is that your quote, invoice, calendar, and tracker all say the same thing.

What to do after the deposit is calculated

Send the quote with the total price, deposit amount, balance amount, payment deadline, and what happens next after payment. Once the deposit is paid, update the order status immediately. If you wait until later, paid orders and “almost booked” orders start to look the same, which is how double-booking and missed balances happen.

If the client has not paid yet, do not move the order into your booked calendar unless you intentionally hold dates without payment.
