When to use each section
- Invoice/payment wording: use this near the invoice total so the client knows what the invoice is requesting.

What to update after payment
After the deposit is paid, mark the order as booked only if that matches your booking policy. Save the paid date, payment method, receipt note, and any invoice number. If the client paid a partial amount, save the remaining balance and the next due date instead of relying on memory.
After the final balance is paid, mark the order paid in full and move it into the next production, pickup, delivery, or completed status. If the client changes the design, serving count, delivery plan, setup needs, or pickup time after paying, create a revised quote or change invoice so the payment record still matches the order scope.

Before you send the invoice
Check that the invoice matches the quote the client accepted. The cake description, serving count, pickup or delivery plan, delivery/setup fee, rush fee, design change charge, and payment schedule should all agree. If the quote says the balance is due 7 days before pickup, the invoice and reminder should use the same timing.
This is also the moment to separate the payment request from the payment record. The wording tells the client what to pay. Your tracker or CakePricr order record tells you whether the payment happened, when it happened, what method was used, and what still needs attention.
How the payment workflow should feel to the client
The client should not have to guess whether they are paying a deposit, a final balance, or an extra charge for a change. Each message should name the order, the amount, the due date, and what happens after payment. That keeps the tone professional without making the baker sound stiff or pushy.
