Client Reply Scripts
Reply scripts for vague inquiries, budget pushback, quotes, follow-ups, deposits, rush orders, and accepted orders.
Use these as starting points. Keep the tone warm, direct, and clear.
When A Client Asks "How Much?"
Hi Name, I can help with that. To give you an accurate quote, I need a few details first:
- event date
- serving count
- flavor/filling
- pickup or delivery
- design inspiration or theme
Once I have those, I can send a clear quote with the total, deposit, and balance due date.
When The Client Gives Vague Details
Thanks, that helps. I need a little more detail before I can price it correctly. Custom cake pricing depends on serving count, design complexity, flavor, pickup/delivery, and the date.
Could you send the serving count, event date, and any inspiration photos?
When The Client Mentions A Low Budget
Thank you for sharing your budget. Based on the design and servings requested, the quote may be above that range. I can either simplify the design to get closer to your budget or quote the cake as described.
Which would you prefer?
When Sending The Quote
Hi Name, here is the quote for your cake:
- Total: $total
- Deposit to reserve date: $deposit
- Balance due: $balance by date
- Event/pickup date: date
This includes short description. The quote is valid until date. To reserve the date, the next step is the deposit.
First Follow-Up
Hi Name, just checking in to see if you had any questions about the cake quote. The date is not reserved until the deposit is paid, and the quote is valid until date.
Second Follow-Up
Hi Name, I wanted to follow up once more before I release the date. If you would like to move forward, the deposit is $deposit. If plans changed, no worries at all.
When The Client Accepts
Great, thank you. Once the deposit is received, your date is reserved. I will keep the order details on file and the remaining balance of $balance is due by date.
When The Client Requests Changes
I can check that. Changes to design, servings, flavor, pickup/delivery, or date may affect the final price. I will review the update and send a revised quote if needed.
When The Client Goes Quiet
Hi Name, I have not received the deposit yet, so the date is still open. If you would like to book, please send the deposit by date. Otherwise I will assume you are passing for now.
CakePricr Upgrade
Use CakePricr when you want quote status, client notes, deposit tracking, and order details saved instead of pieced together from message threads.
When this gets repetitive, move it into CakePricr.
Printable templates are useful for starting clean. CakePricr is the upgrade when you want to price the cake, save the quote, track deposits and balances, and keep the order organized after the client says yes.
